Sharing Files in OneDrive

Sharing files in OneDrive is as easy as choosing who to share with. Here is a short video as well as some step-by-step instructions on a couple different ways to do it. For more information on OneDrive, see our OneDrive Overview page.

How to Share Files

  1. Navigate to OneDrive (either via Explorer or online at Microsoft 365)
  2. Locate the file or folder that you want to share
  3. Right click on the file and select Share
  4. To share a file with a SCTC Employee
    1. Type the name and select it from the pop up menu
    2. Click the chevron/eyeball icon and select the share access (View or Edit)
    3. Add more people as needed. 
    4. Click the Send button to automatically send a share invite email
      -or-
    5. Click Copy Link to save the link to the clipboard.  You can then create a custom email and paste the link in an email.

Sharing Files with SCTC STUDENTS or Non SCTC Staff

  1. To share a file with a SCTC Student or  Non SCTC Staff, it is recommended to use a Share Link
  2. Navigate to OneDrive (either via Explorer or online at Microsoft 365)
  3. Locate the file or folder that you want to share
  4. Right click on the file and select Share
  5. Click the Gear Icon next to Copy Link 
  6. Under Share the link with, choose Anyone
  7. Under More settings,
    1. choose the share permissions (view or edit)
    2. Link expiration date (if desired)
    3. Share password (if desired)
  8. Click Apply and then Copy Link
  9. You can then create a custom email and paste the link in an email.

Sharing from within Office Applications

  1. If you have a document open in a Microsoft Office application (Word, Excel, PowerPoint, etc), you can also share the file from within that application
    Note: the file must be saved in OneDrive not locally on your computer
  2. With the file open in your Office application, click the Share button in the top right hand corner and then select Share. The color of the share button will vary depending on the application. 
  3. You can now share the file using the procedures listed above
  4. If you want to manage existing access, select Manage Access  and follow the procedures below. 

Managing Existing Shared Access

  1. Navigate to OneDrive (either via Explorer or online at Microsoft 365)
  2. Locate the file or folder that you want to share
  3. Right click on the file and select Manage Access
  4. The people the file has been share with and their access level will be listed under the People tab
  5. To edit a person's access:
    1. Click on the name 
    2. Under Ways this person has access, click one the access level to change the permissions. 
    3. Select Remove direct access to remove this person's access to the file. 
    4. Select Apply to save the changes. 
  6. To edit a Share Link:
    1. Click the Links tab
    2. Review the link(s)
    3. You can copy the link to send again by clicking the Copy button 
    4. You can edit the expiration date by clicking on the Gear icon. To change the share permissions, you will need to create a new link. 
    5. You can Delete the expiration link by clicking on the Trash Can icon.
